Order Management: Adding a Delivery

Having set up an order we now need to set up the delivery or deliveries, with their associated items. That is the function of this screen. The delivery recipient or giftee can be changed at this stage. You will notice that there are several notes fields - notes about the customer's address, for the packers and for the carrier. TOPS provides extensive notes fields so that you know exactly what you are doing and what instructions you need to issue to your packers, carriers, etc.

Much of the information is carried through from what you have already entered from previous screens and from the database. The fields to which you need to pay special attention on this screen are as follows:

To Arrive: here you specify when you want your delivery to arrive. This works in conjunction with the next field.
Delivery Date: if, in the previous field, you have specified "on" or "before", you need to specify the relevant date.
Dispatch By: this field is automatically filled in for you as a result of your previous choices. For example it calculates that if you want the goods to arrive by a certain date they must be sent out a few days earlier.
Message for Recipient: you can place a personal message for the giftee as requested by your customer. The facility to customise font styles for this is available in the options dialogue.
Notes for Carrier: you can add notes for your carrier, especially important if the goods must not be left on the doorstep or are fragile.
Packing Batch: one of special features of TOPS is the batching system. This is important in managing your deliveries. More on this is in the tutorial on packing batches. You can view this section of the tutorials now if you have not yet seen how the packing batch system works.

Now, a delivery without any delivery items is pointless! You are not going to send an empty parcel, so you now move down to the lower part of the screen where you begin the process of adding delivery items.

Qty: you specify the quantity of the first item in your delivery
Product Category: to make selecting products quick and simple, you can select a category. This will reduce the number of product codes and descriptions you have to view in order to select from. You will have set up product categories while managing your catalogue.
Product code: you select the product code if you remember it. However, if you cannot, you can select by the next field.
Description: when you added new products to your catalogue, you would have applied a description. You can select via description.
Price: the price will be automatically displayed, but you have the opportunity to override it.
Discount: you can apply a discount to the price in percentge terms.
Notes for the Packer: you can add notes for the packer if you wish.

Now all you have to do is click the "Add this Item to this Delivery" button. You will then have the option to add further items or begin the processing of the payment.
